Fulfilling Murchases with Workroom Tracking
Once a Visitor completes a Murchase through your Malet, the Workroom system guides you through fulfillment â from reviewing the Murchase details to shipping the product and confirming delivery. This guide explains how to use the Shipping & Tracking form in The Deck to attach carrier information and automatically transition your Murchases to Shipped status.
Understanding the Workroom
Every Murchase creates a Workroom â a structured, step-by-step workflow that connects you (the Malet Owner) with the Visitor who placed the Murchase. The Workroom tracks:
- Current step: What action needs to happen next
- Progress: How far along the fulfillment is (displayed as a percentage bar)
- Participants: You (Seller) and the Visitor (Buyer)
- Status: PENDING â IN_PROGRESS â COMPLETED
Depending on your Malet's vertical type (e.g., physical boutique, photography studio, tour operator), the Workroom may include different step types such as form collection, file uploads, digital signatures, or approval checkpoints.
Accessing the Tracking Form
To add tracking information to a Murchase:
- Navigate to The Deck â Murchase Queue (accessible at
/<your-malet>/manage/orders) - Select the specific Murchase you want to fulfill
- On the right side of the split-pane view, scroll to the đĻ Shipping & Tracking section
NOTE
The Shipping & Tracking form only appears when the Murchase is in Processing or Payment Authorized status and the Workroom is still active. Once a Murchase reaches a terminal state (Completed or Cancelled), the form will no longer display.
Adding Tracking Information
The tracking form includes three fields:
Tracking Number (Required)
Enter the carrier tracking number exactly as provided by your shipping carrier. This is the only required field and serves as the primary identifier for the shipment.
Examples: 1Z999AA10123456784 (UPS), 9400111899223456789012 (USPS), 794644790126 (FedEx)
Tracking URL (Optional)
Paste the full tracking URL from your carrier's website. When provided, this gives Visitors a direct, clickable link to monitor their shipment in real time.
Example: https://www.ups.com/track?num=1Z999AA10123456784
Estimated Delivery Date (Optional)
Select the expected delivery date using the calendar picker. This helps set accurate expectations for the Visitor and appears in their Murchase tracking timeline.
What Happens When You Submit
When you click đ Add Tracking & Ship, several actions are triggered automatically:
- Tracking data is saved to the Murchase record
- The Murchase transitions to Shipped status â the platform automatically moves the Murchase from Processing to Shipped when a tracking number is provided
- The Visitor is notified â a shipping confirmation notification (email + push) is sent to the Visitor with the tracking details
- The Workroom advances â the fulfillment workflow moves forward to the next step
IMPORTANT
Once you submit tracking information, the Murchase status transitions to Shipped immediately. Make sure you have shipped or are about to ship the item before submitting the tracking number.
After Shipping
Once the Murchase is in Shipped status:
- The Visitor can see the tracking number and URL in their My Murchases dashboard
- You can still Complete the Murchase once the delivery is confirmed
- If something goes wrong, you can contact the Visitor directly through uChat to resolve any shipping issues
TIP
For service-based Malets (photography sessions, tour bookings, consulting), the Workroom may not require physical shipping tracking. Instead, your Workroom steps might include collecting guest information, sharing documents, or requesting digital signatures â all handled through the same Workroom interface.
Troubleshooting
| Issue | Solution |
|---|---|
| Tracking form not appearing | Ensure the Murchase is in Processing or Payment Authorized status. Completed and Cancelled Murchases cannot be updated. |
| "Failed to submit tracking" error | Check that the Tracking URL is a valid URL format (must start with https://). The Tracking Number field cannot be empty. |
| Visitor says they didn't receive tracking | Check the Visitor's notification preferences. The shipping notification is sent via both email and push. They can also view tracking details directly in their My Murchases dashboard. |
